Job Description

Job Summary: The Payroll Specialist is responsible for providing organizational and administrative support within the payroll and finance areas. Key duties include processing semi-monthly payroll, updating payroll deductions, preparing monthly journal entries, and supporting annual audits and budget preparation. The Payroll Specialist will also assist with various tasks and projects as assigned by the Payroll Supervisor, respond to payroll inquiries from employees, and address finance-related inquiries from administrators. This role requires maintaining the highest levels of customer service, confidentiality, and security.

Duties and Responsibilities:

• Payroll Processing: Handle all aspects of semi-monthly payroll processing, ensuring accuracy and compliance with policies and regulations.

• Payroll Deductions: Update and manage payroll deductions, including benefits, taxes, and other withholdings.

• Journal Entries: Prepare and post monthly journal entries related to payroll.

• Audit and Budget Support: Assist in the preparation for annual audits and budget planning.

• Employee Assistance: Provide support to employees regarding payroll inquiries, ensuring timely and accurate responses.

• Administrative Support: Assist administrators with finance-related inquiries and provide support for various financial tasks and projects.

• Customer Service: Maintain the highest level of customer service in all interactions.

• Confidentiality and Security: Ensure all payroll and financial information is handled with the utmost confidentiality and security.

• Project Assistance: Support the Payroll Supervisor with additional tasks and special projects as needed.


Education and Experience:

• Relevant degree in finance, accounting, or related field preferred.

• Experience in payroll processing and administration.

• Familiarity with payroll software and financial systems.

Knowledge and Skills:

• Strong understanding of payroll principles and practices.

• Knowledge of relevant federal, state, and local payroll regulations.

• Proficiency in using payroll software and Microsoft Office Suite, particularly Excel.


• Excellent organizational and administrative skills.

• High level of accuracy and attention to detail.

• Ability to handle confidential information with integrity.

• Strong customer service skills.

• Effective communication skills, both verbal and written.

• Ability to manage multiple tasks and meet deadlines.
