We are seeking a diligent and detail-oriented Bookkeeper to manage the day-to-day financial operations. This role involves handling accounts payable (AP), accounts receivable (AR), payroll, maintaining the general ledger, and preparing and analyzing financial statements. The ideal candidate will have strong organizational skills and the ability to manage multiple tasks efficiently.

Job Description:

• Financial Management:

• Enter and manage checks and payments daily, ensuring accuracy and compliance with company policies.

• Match vendor bills with purchase orders (P.O.s) and enter them into the system daily.

• Scan and invoice service tickets daily, ensuring timely processing.

• Enter installation invoices promptly.

• Check and update open invoices on a weekly basis.

• Post and enter payments for recurring payment plans twice a month (15th and 28th).

• Send maintenance plan renewals on a monthly basis and update plans with any price increases.

• Check vendor statements monthly to ensure accuracy and address any discrepancies.

• Account Reconciliation:

• Reconcile various accounts monthly, including deposits on future work, annual payment plans, monthly payment plans (EZ Pays), and bank accounts.

• Ensure all financial records are accurate and up to date.

• Customer and Vendor Interaction:

• Answer phones and address any inquiries professionally.

• Contact customers with failed payments to update information and ensure payments are received.

• Call and collect outstanding invoices to maintain cash flow.

• Send out thank-you packets for completed installations.

• Administrative Tasks:

• Print payments and bills from email daily.

• File documents daily to maintain an organized record-keeping system.

• Go through dispatch board history to find and rectify any missing tickets.

• Enter weekly timesheets into QuickBooks accurately.

• Complete quick deposits and ensure they are recorded correctly.

• Special Projects:

• Participate in service round table rebate programs to maximize company benefits.

• Assist with any additional tasks or projects as assigned by management.

Qualifications:

• Proven experience as a Bookkeeper or in a similar role.

• Proficiency in QuickBooks or similar accounting software.

• Excellent organizational skills and attention to detail.

• Strong communication skills for interacting with customers and vendors.

• Ability to manage multiple tasks and meet deadlines efficiently.

• Familiarity with standard accounting procedures and practices.

• High level of integrity and confidentiality in handling sensitive financial information.
