Responsible for day-to-day operations of the accounting function, including the daily, monthly, and annual data processing and preparation of reports, collections and disbursement, and HR functions. Maintain records and ensure timely filing of records relating tax, insurance, and various regulatory matters. Assist in interpreting various reports and statements and make recommendations to the president on how to reduce costs, improve controls, and simplify work. Maintain companys network and ERP software.
Invoice customers for goods and freight daily, exercise judgment in authorizing the extension of credit and managing credit policy. Monitor delinquent accounts, make collection calls weekly.
Create new and modify existing customer records. Obtain tax forms and credit references from customers as required.
Issue materials to job orders and resolve discrepancies with Plant Manager. Complete and close job orders.
Analyze job cost variances.
Review and enter payables invoices. Check for billing errors or fraudulent invoices. Process check run weekly. Resolve pricing or payment disputes with vendors.
Oversee the closing of books monthly, including journal entries, bank reconciliation, depreciation schedules, and preparation of month-end reports.
Process the payroll weekly.
Ensure timely filing of records, reports, statements and payments related to taxes, insurance policies, permits, etc.
Assist in the annual preparation of budgets.
Make recommendations to reduce costs, improve cash flow, and generally increase profitability through reducing expenses, increasing efficiencies, and improving controls.
Assist outside auditors in annual preparation of financial statements.
Interface with bankers and auditors as needed.
Maintain and secure company records according to an established retention schedule. Ensure confidential records are safeguarded and that critical data is secured with adequate protections and backups.
Serve as primary contact for IT issues, both internally and for outside service firms.
Individual must be meticulous, organized, inquisitive, and discreet. Must possess at a minimum a bachelors degree in Accounting and preferably hold a CPA certificate, with at least 10 years relevant experience. Must also have some experience with information technology.
