Job Description:

We are seeking a dedicated and detail-oriented Accounting Assistant to join our finance team. The successful candidate will play a crucial role in supporting various aspects of the accounting cycle, ranging from day-to-day financial tasks to involvement in month-end financial reporting. This role requires versatility and adaptability, as the Accounting Assistant will contribute to a variety of accounting functions.

Key Responsibilities:

Common Duties:

  • Process cash deposits and provide support in Accounts Receivable (AR) collections, collaborating closely with project coordinators.
  • Update weekly scorecards to track financial performance and key metrics.
  • Review and prepare Accounts Payable (AP) invoices for approval, following the import from the AP email box.
  • Code overhead expenses from credit card transactions accurately.
  • Manage billing procedures for tool usage from our equipment leasing company and handle AR billing for the engineering company.
  • Assist in setting up job accounts for the engineering company’s projects.
  • Contribute to the monthly financial closing process, starting with smaller companies and progressing to assistance with larger companies.

Other Duties:

  • Maintain and update Certificates of Insurance (COI), ensuring compliance and accuracy.
  • Track and update lien waivers as required by projects.
  • Generate reports on spending and other financial data upon request.

Potential Duties:

  • Assist in Work-in-Progress (WIP) preparation to support accurate project cost tracking.
  • Monitor inventory costs related to our parts division and report on findings.
  • Provide assistance during audits by organizing and preparing relevant financial information.
  • Undertake additional responsibilities as needed, depending on individual capabilities and evolving company needs.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field (or equivalent experience).
  • Solid understanding of accounting principles and practices.
  • Proficiency in Microsoft Excel and other accounting software.
  • Excellent attention to detail and accuracy.
  • Strong organizational skills to manage multiple tasks and meet deadlines.
  • Effective communication skills to collaborate with various teams and stakeholders.
  • Adaptability to changing priorities and tasks.

Preferred Qualifications:

  • Prior experience in a similar accounting or finance role.
  • Familiarity with ERP systems or accounting software such as QuickBooks, SAP, etc.
  • Knowledge of construction or engineering industry accounting practices is a plus.
  • Professional certification such as Certified Bookkeeper or similar is advantageous.
