Payroll & Benefits Specialist

Job Summary

The Payroll & Benefits Specialist is responsible for the activities of Payroll across the enterprise. Responsibilities include coordinating payroll preparation and processing, tax reporting, payroll system maintenance, and benefits coordination/compliance.

Responsibilities Include:

Exemplify a service-oriented approach with HR team members, as well as internal and external partners. Ensuring all team members are focused on providing exemplary customer service for our internal and external customers
Participate in the establishment of department goals and for implementing procedures and performance standards to achieve these goals
50% PAYROLL

Partner closely with remote HR peers to coordinate full-cycle payroll activities for our family of companies that are accurate, on time, and in compliance with Company policies, internal controls and procedures; and State and Federal regulations

Prepare, review and ensure the accuracy and timely payroll wage and tax filing, and related deposits

Review and update policies, procedures and controls for the Payroll function to ensure compliance with Company policies, and State and Federal regulations

Provide consultative expertise to Human Resources and Company Management in areas of payroll regulations and taxation

Develop advanced reports to support business needs including payroll entries for the general ledger

40% BENEFITS

  • Coordinate daily benefits processing. Provides benefit enrollment additions and deletions to benefit providers i.E. COBRA, terminations, changes, beneficiaries, disability, accident and death claims, loans, compliance testing, 401(k), leaves of absence and time off

  • Oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records

  • Gather employee data and oversee the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans. Allocate group health and dental claims monthly and reviews quarterly

  • Perform balancing and remitting of benefit deductions (401k, FSA, HSA and other benefit deductions)

  • Perform plan audits. Prepare, collect and organize data for internal and external auditors
    10% HRIS

  • Act as business owner for the HRIS and coordinate system implementations, enhancements, integrations and ongoing upgrades and maintenance in coordination with the Payroll and Benefits Manager.

  • Serve as HRIS subject matter expert to support the HR function in optimizing its use of the HRIS

  • Establish and maintain practices which ensure the data quality, accuracy, and completeness of the HRIS, including data extracts, feeds, interfaces and security compliance by monitoring system access and permissions

  • Instruct and collaborate with the HRIS vendor on system configuration needs pertaining to all areas of HR such as benefits, policy acknowledgements, applicant tracking, compliance data tracking and self-service


Skills/Knowledge:

  • Bachelors' degree in Finance, Human Resources, Business Administration, a related field or equivalent experience required

  • Minimum of five years of experience in positions of increasing responsibility processing payroll, managing HRIS systems, and experience administering employee benefit plans.

  • Experience with ADP Workforce Now preferred

  • Experience in tax filing in a multi-state environment

  • Demonstrated knowledge of Federal and State wage and hour laws, tax provisions, labor law and benefit-related regulations

  • Solid knowledge of general accounting principles and strong analytical skills.

  • Strong problem solving, organizational, communication and interpersonal skills required.
    Advanced MS Excel skills are required

  • Experience administering 401(k) retirement programs.

  • Familiarity with ACA, COBRA, ERISA, FMLA, ADA.AADA and related state and federal regulations required.

  • Strong knowledge and understanding of insurance regulations, plan designs and third party record keeping/administration requirements.

  • Strong knowledge and experience auditing carrier invoices and reports and communicating with insurance carriers and other vendors to correct discrepancies.
