The Controller will be responsible for all aspects of finance and accounting for the company, including billing, accounts payable and receivable, and project accounting for engineering services and construction contracts. The Controller must have a good understanding of the Federal Acquisition Regulations (FAR), union reporting and be able to work with the company's administrative team as an integral member.
: Receive mail; code invoices & schedule for payment; determine appropriate approver; distribute to approvers; send to support staff as appropriate, ensuring timeliness.
: Review invoices for payment weekly; ensure cash is available to cover checks.
: Vendor liaison.
: Complete credit application for construction vendors.
: Import credit card transactions and post after submitted and approved.
: Run Unbilled Summary; meet with all project managers to determine what can be billed.
: Discuss project issues in Team Lead Meetings (planning, budget, profitability, write-offs, etc).
: Produce invoices for all projects set to bill per Project Managers (PM) discussions within boundaries of contract. This is about 50 invoices per month, most of which are required to be on government forms.
: Respond to inquiries / revise invoices if needed per client request.
: Email daily report of checks received to PM and leadership; enter in Deltek Vision.
: Send weekly AR report to project managers and request follow-up with clients on all outstanding AR & comments entered in Vision on all invoices 90+ days.
: Monitor cash balances.
: Make daily deposits utilizing electronic scanner.
: Prepare cash forecasts for leadership.
: Calculate borrowing base using AR reports; review with owner; send to bank.
: Relationship liaison with current bank.
: Utilizing ADP, submit payroll weekly for union workers, semi-monthly for design staff and coordinate potential daily layoff checks for construction laborers.
: Ensure proper importing of data from ADP to Deltek general ledger.
: Post weekly timesheets and expense reports.
: File periodic Fuel and Sales Tax returns.
: Prepare and submit weekly certified payroll reports and monthly EEO reports for construction projects.
: Prepare and submit monthly union reports for the various laborer and operator locals.
: Process schedules for renewal of corporate insurance policies.
: Update insurance company for significant changes in fixed assets, drivers or office changes.
: File notices and correspondence from providers.
: Manage unemployment and workers compensation insurance audits.
