Job Title: Accounts Payable Specialist
Department: General Accounting
Reports to: Accounts Payable Supervisor
FLSA Status: Non-Exempt
General Overview: Duties for this position include processing accounts payable invoices, preparing accounts payable batches, distributing accounts payable payments, resolving accounts payable discrepancies, and other duties.
Duties and Responsibilities:
: Reviews all inventory invoices payable in US dollars for appropriate documentation and approval prior to payment for multiple locations/divisions.
: Processes 3-way P.O. Matching invoices, up to 100 plus line items.
: Verifies import shipments and invoices meet US Customs specifications.
: Receives, researches and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons.
: Reconciles inventory vendor statements, researches and corrects discrepancies.
: Investigates and resolves problems associated with processing of inventory invoices and purchase orders.
: Researches credits received from vendor and processes if in order. Compares vendor credits to vendor debits that have been issued by the accounts payable department.
: Researches vendor debits. Contacts vendors and requests a check if debit balance is over 60 days old. Contacts vendors immediately if debit is issued for a duplicate payment.
: Prioritizes invoices according to cash discount potential and payment terms.
: Uses query tools to provide information necessary for AP analyses.
: Assists in month end closings.
: Maintains files and documentation thoroughly and accurately.
: Ensures that all documents are imaged correctly and attached in a timely manner.
: Performs other duties as required and assists with other projects as needed to support the Accounting Department.
Knowledge, Skills and Abilities:
: High school diploma or equivalent required
: Accounts payable experience
: ERP experience desired (JD Edwards preferred)
: Excellent communication (written and verbal), analytical, and interpersonal skills
: Strong computer skills, including proficiency in Microsoft Excel
: Ability to handle multiple tasks under tight timelines
: High level of integrity and ethical standards
